* Invitations and Passes: A team led by Sri K. Nageswara Rao is responsible for preparing and distributing invitations, ID cards, and passes for public representatives, officers, new teachers, and other stakeholders.
* Stage and Seating Management: Dr. K.V. Srinivasulu Reddy, DGE, A.P., is leading the team handling stage design, LED screens, and VVIP/VIP arrangements. Meanwhile, Sri D. Devananda Reddy, Secretary of KGBV, is managing the seating arrangements for teachers and staff, including developing a gallery-wise seating plan.
* Appointment Orders and Registration: The team led by Sri A. Subba Reddy, Additional Director, is responsible for preparing appointment orders and ensuring their proper distribution to the newly appointed teachers.
* Transportation and Accommodation: Teams are assigned to arrange accommodation and transportation for attendees from various districts to the venue in Vijayawada and back. This includes coordinating with police for traffic management and ensuring return transport with food arrangements.
* Food and Refreshments: Sri B. Pratap Reddy, Additional Director, is leading the team that will engage caterers and coordinate with district teams for food distribution.
* Emergency Services: A team led by Smt. P. Sailaja, Joint Director, will set up first-aid centers and ensure the availability of ambulance services and a list of nearby emergency hospitals.
* Media and Documentation: Sri R. Narasimha Rao, Director, APOSS, is tasked with managing media invites, live streaming, photography, videography, and other documentation for the event.
The officers in charge are required to coordinate closely with local authorities, including the Collector & District Magistrate, Commissioner of Police, and Municipal Commissioners of Vijayawada and Guntur, to ensure the program's smooth and successful execution.
