Detailed Planning and Execution:
The success of Mega PTM 2.0 relies on meticulous planning, involving various committees and a minute-to-minute schedule.
Preparation Phase (4-6 days before Mega PTM 2.0):
- A meeting will be conducted with the School Management Committee (SMC)/Parent Teacher Association (in private schools) and staff to discuss the minute-to-minute programs.
- Responsibilities will be assigned to committees (invitation, budget, beautification, reception, etc.).
- Responsibilities for committee members will be clearly communicated in writing.
- Timelines and Key Performance Indicators (KPI) will be set for each task.
- A committee lead will be appointed for each committee.
- Duties and responsibilities will be communicated in writing.
- A schedule for coordination meetings for each committee will be prepared.
- The final checklist of assigned responsibilities will be submitted to the school Headmaster for review.
Preparation Phase (1-4 days before Mega PTM 2.0):
- Invitation Committee: Invitation cards will be prepared for parents and chief guests. Invitation cards will be distributed to parents, SMC members/Parent Teacher Association (in private schools), and other chief guests. Invitee details will be registered in the PTM online module of the LEAP App. Digital invitations will be sent via SMS to other invitees such as alumni, donors, and officials.
- Budget & Purchase Committee: Details of necessary materials and funds will be collected from all committees. The required budget plan will be finalized and expenses recorded. Potential donors will be contacted for goods and donations.
- School Premises Beautification: Pathways from the school entrance to the school buildings will be marked and decorated with white powder or paint. A welcome arch will be set up using locally available materials (flowers, mango leaves, banana trunks). Flower pots will be placed along the marked pathways in the school. Dustbins will be placed in key locations and eco-friendly materials will be used.
- Environmental Safety Committee: Construction areas in the school premises will be identified and marked with red ribbons to ensure safety and prevent accidents. Signboards will be set up for guests to easily identify locations in the school premises.
- Welcome Committee: The welcome desk will be decorated with flowers and garlands (only locally available flowers should be used without cost). A welcome march will be organized by students and proper seating arrangements will be made for chief guests.
- Seating Arrangement Committee: A table and chairs will be set up outside each classroom for one-on-one discussions. Specific seating with clear markings will be arranged for parents, SMC/Parent Teacher Association (in private schools) members, and guests.
- School Progress Report Committee: Student progress reports will be prepared and verified. Parents will discuss individually with the class teacher. Feedback collected from parents will be submitted to the school Headmaster. Stage & Audio-Visual Arrangements
- Committee: Stage setup, audio-visual equipment, and IFP panel/TVs will be tested. The stage will be decorated and drinking water bottles will be arranged.
* Cultural & Sports Committee: A plan for practicing cultural performances and competitions arranged for parents will be prepared. Participants for activities like Rangoli/Lemon and Spoon Race, Musical Chair, and Tug of War will be confirmed.
* Food & Drinking Water Arrangements Committee: Hygienic and eco-friendly materials will be used in the preparation and serving of Dokka Seethamma Mid-day Meal/Lunch (in private schools). Covered water pots and glasses will be placed in all important areas of the premises.
* Discipline & Parking Committee: Student volunteers will be trained to follow protocol in designated parking areas. Directional signage will be placed to guide attendees.
* Medical Aid Committee: An ANM/Doctor will be arranged and ensured to have a first aid kit and ORS packets. Students will be assigned as assistants to the ANM/Doctor.
* Documentation Committee: Mega PTM 2.0 activities will be video recorded for 30 seconds and 3 photos will be taken for documentation.
* Green Passport - Ek Ped Maa Ke Naam Committee: Saplings will be planted as part of the program.
* Photo Booth Committee: Two to three photo booths will be set up at the entrance according to the required measurements based on the student enrollment number in the school.
* Press & Media Coverage Committee: Press and media representatives will be invited. A press release highlighting school achievements and program objectives will be prepared and released.
Documentation Phase & Post-Event Activities:
* Documenting the program: A teacher will be specially assigned for preparing the activity management report and recording key activities.
* Testimonials will be collected from parents and guests.
* Mega PTM 2.0 App Registration: Details of all attendees after Dokka Seethamma Mid-day Meal/Lunch (in private schools) will be registered in the LEAP App. Activity photos (welcoming, parent-teacher one-on-one discussion, group photos, etc.) will be uploaded to the LEAP App.
* Transportation Facility for Children with Special Needs (CwSN): Transportation facilities will be arranged if necessary for children with special needs (CwSN) and their parents.
* Cleaning and Debriefing: Classrooms and premises will be cleaned after the program. A review will be conducted with committees on the success of the program and areas to be developed for future meetings.
Minute-to-Minute Schedule Highlights:
Both Primary and Secondary schools have detailed schedules for the day. Key activities include:
* Welcoming Parents and Photo Booth: Parents, philanthropists, old students, SMC members, people's representatives, and departmental officers will be welcomed. An open-house photo booth will allow for one photograph of each student with their parents.
* One-on-one interaction: Class teachers will discuss the Holistic Progress Report Card and Health Card of each student with their respective parents in the designated desk in the corridor. Other students and parents would be seated inside the classrooms and engaged by the class leader in activities like watching videos through TV/IFPs (e.g., Thalliki Vandam, Good touch - Bad touch, Positive Parenting, Mana badi magazine).
* Competitions for the parents: Competitions such as Rangoli, Lemon and spoon, or Musical Chairs for mothers and Tug of War for fathers will be conducted.
* Proceeding to Main dais: Parents, teachers, students, SMC, and all other invitees will proceed to the main dais.
* Common Meeting Agenda (Primary Schools): This includes invitation and welcoming, prayer ("Maa Telugu Thalliki" State song), Thalliki Vandanam (offering flowers and Namasakaram to feet of the mothers), report on status of feedback and suggestions from previous PTM, speeches by the two best students, reading of the two best write-ups by mothers, speech by one Alumni, message by the Chief Guest, open house Q&A for students, announcement of Green Passport as part of "Ek Ped Maa Ke Naam" Initiative and distribution of plants, pledge by all present, Vote of Thanks, and Dokka Seethamma Madhyahna Badi Bhojanam (Mid-day meals) for government schools and common lunch for private schools.
